This policy explains what personal data TopAgencies.com ("TopAgencies", "we") collects, why we collect it, who receives it and what you can do about it. It applies to visitors, registered users, listing owners and their teams, reviewers, job candidates and anyone who contacts us.
What we collect
Data you give us
- Account data: your name, email and account ID from our sign-in service, and your profile photo if you have one
- Content you publish: reviews, photos, votes, replies, listing details and job posts
- Messages: requests to agencies, emails to us, reports and feedback
- Job applications: your name, email, the optional details you add (Telegram, country, languages, experience, links), your answers and your note to the agency
- Preferences: newsletter and agency subscriptions, notification settings and saved lists
Data we collect automatically
- Technical data: IP address, browser and device details, pages visited and the page you came from
- Review and form safety data: the IP address and browser details sent with reviews, applications and requests, used to detect fake reviews, spam and abuse
- View and click counts: to count each visitor once a day, we use a one-way code made from the IP address and browser
- Cookies and similar storage (see Cookies)
- Email events: whether our emails are delivered, opened or clicked, and bounce or complaint notices
Data from public sources
- Information about agencies, software and platforms from their websites, public profiles, public review platforms, domain registration records and traffic estimates
- Public posts that mention agencies and tools, quoted with a link to the original
- The page of an agency's website that we check to confirm a verification link
How we use it
- To run the site: accounts, listings, reviews, jobs, requests and notifications. Legal basis: providing the service you ask for.
- To keep the site safe: preventing spam, fake reviews, fraud and abuse, and enforcing our Terms. Legal basis: our legitimate interests.
- To understand and improve the site through statistics and analytics. Legal basis: our legitimate interests, or your consent where the law requires it.
- To email you: service emails about your account, listings, reviews, applications and requests, and occasional news about TopAgencies unless you opt out. Every marketing email has a one-click unsubscribe link.
- To meet legal obligations and answer lawful requests from authorities.
Who we share it with
- The public: reviews, replies, listings and job posts are public by design, together with the name on your account.
- Agencies you contact or apply to: they receive your request or application with your contact details.
- Service providers who work for us: hosting, content delivery and security, email delivery, analytics, AI tools and team communication tools. They may use the data only to provide their service to us.
- Authorities, when the law requires it or to protect rights and safety.
- A buyer or successor, if the site or the business is sold or merged.
We don't sell personal data.
AI features
Some features use AI service providers, for example writing or improving a job post and drafting replies to messages we receive. The text you enter into these features, and messages you send us, may be processed by these providers to produce the result.
Job applications
When you apply for a job, the agency that posted it receives your application. We keep the application so the agency can review it in its cabinet, and you can ask us to delete it at any time. Once the agency has your application, it is responsible for how it uses your data.
Verification checks
To verify a listing, our checker opens the page of the agency's website that the owner gives us and looks for a visible link to TopAgencies. We store the page address, the link we find and the check results, and re-check the page automatically while the listing stays verified.
Cookies
- Essential cookies keep you signed in, protect forms and remember settings such as the theme. The site doesn't work properly without them.
- Analytics cookies, such as Google Analytics, show us how the site is used. You can block them in your browser settings.
- We don't use cookies to build advertising profiles.
How long we keep data
- Account data: while your account exists.
- Content: while it is published, and in backups and records for a limited time after that.
- Job applications: while the agency may need them for hiring, or until you ask us to delete them.
- Technical logs and statistics: only as long as needed for security and reporting, mostly in aggregated or pseudonymised form.
We may keep some records longer when the law requires it or to resolve disputes.
Security
We use reasonable technical and organisational measures to protect personal data. No online service is completely secure, so we can't guarantee absolute security.
International transfers
Our service providers may process data in other countries. Where the law requires it, these transfers are protected by appropriate safeguards, such as standard contractual clauses.
Your rights
Depending on where you live, you can ask us to give you a copy of your data, correct it, delete it or export it, object to or restrict how we use it, and withdraw your consent at any time. Write to us from the email address linked to your account. You can also complain to your local data protection authority.
Age restrictions
The site is for people aged 18 and over. We don't knowingly collect data from anyone younger; if you believe a minor has given us personal data, write to us and we will delete it.
Content on the site
Content published by users, agencies and other third parties belongs to them. We don't check it in advance and are not responsible for its accuracy.
Changes
We may update this policy. The date at the top shows the current version, and for significant changes we will also post a notice on the site.
